    When you are funding a building project from abroad, you may not be able to watch every delivery. You can still create a clear record by connecting the material request, written quote, payment, delivery and site confirmation.



    Keep one material list


    Use one current list with the product, size, quantity, project stage and required date. Share the same version with the site contact and supplier so that changes are visible.



    Nominate a receiving contact


    Choose the person who will receive and check the materials. Their role should be clear: confirm the delivery, record quantity and condition, and report issues. This person is not automatically an independent project supervisor.



    Request a written quote and receipt


    Ask for a quotation or invoice before payment and retain the receipt after payment. The record should show what the money was for and how much material was ordered.



    Use delivery confirmation


    Where applicable, request the delivery date, site photograph, quantity confirmation and any issue report. Keep these updates in the project folder and compare them with the original list.



    Know the limit of supply transparency


    A delivery record proves that a material was ordered and delivered; it does not certify the design, workmanship or the entire construction project. Continue to use the appropriate architect, engineer, quantity surveyor or independent supervisor for those responsibilities.
