
Quotations, Invoices and Receipts: How to Buy Materials Transparently
Transparent materials supply is easier when each order has a simple paper trail. The aim is not complicated paperwork; it is making the product, quantity, price, payment and delivery understandable to the owner and site team.
Begin with a quotation
A quote should identify the material, size or specification, quantity, unit price, delivery charge, total, quote date and validity period. If the price can change because of stock or market conditions, ask how long the quote remains valid.
Confirm the invoice or payment request
Before paying, confirm that the invoice or payment request matches the quote. Check the business name, account details, amount, purpose and order reference. If anything changes, ask for an updated written document.
Keep the receipt
After payment, keep the receipt or payment confirmation with the quote. A bank transfer record shows money moved; the receipt and quote explain what the payment was intended to buy.
Close the loop with delivery
Record when the material arrived, the quantity received, who received it and any issue. For diaspora project owners, a delivery message or photograph can make the record easier to follow from abroad.
Ask questions early
If the product, quantity, price or delivery terms are unclear, pause before paying. Clear questions at the beginning are easier to resolve than a disagreement after the delivery.
