
How to Check Building Materials When They Arrive at Your Site
Receiving materials properly gives the project owner and supplier the same record of what arrived. It also makes it easier to resolve a genuine discrepancy quickly.
Before delivery
Keep the quote, order reference, product description and expected quantity available. Make sure the site has a receiving person, a safe unloading area and enough access for the delivery vehicle.
Check the product
Confirm that the delivered item matches the order. For blocks, check the size. For pavers, check the thickness and colour. For kerbs, check the length, height and class. For cement, check the bag count and product description.
Check the quantity and visible condition
Count or measure the delivery using a reasonable site method. Record broken blocks, chipped pavers, damaged kerbs or visibly compromised packaging. For cement, store bags in a dry, raised area and report damaged or wet bags promptly.
Record the delivery
Write down the date, order reference, quantity received, person receiving it and any issue. Take photographs where useful and keep the invoice, receipt and delivery confirmation.
Escalate clearly
If something does not match the order, contact the supplier with the written order and photographs. Do not rely only on an informal phone call that cannot be tracked later.
